Job Summary

The Getty Research Institute's Institutional Records and Archives (IRA) department seeks a limited-term Project Manager to lead a discovery-phase project focused on electronic records management (ERM). This role will assess current practices, systems, and risks related to electronic records across the institution and define requirements for a future ERM program.

 

The Project Manager will work closely with IRA and the project team to plan and execute a structured enterprise-wide discovery effort, engaging stakeholders across the organization to articulate roles and responsibilities, identify and document existing system and workflows, identify gaps, and evaluate needs for managing electronic records. The Project Manager will produce clear recommendations and reports, including functional requirements and governance considerations.

Major Job Responsibilities

  • Develop and manage the project plan, scope, timeline, and deliverables for the discovery phase
  • Develops and implements plans to communicate and explain project methodology and processes to stakeholders
  • Identify potential project risks and difficulties and design strategies to mitigate or avoid them
  • Identify and engage stakeholders via interviews, surveys, listening sessions and other tools to solicit feedback to document current-state processes and pain points
  • Inventory electronic records systems, applications, repositories, and data flows
  • Identify risks, gaps, and compliance considerations related to electronic records
  • Define business and functional requirements for viable enterprise-wide ERM program
  • Analyze findings and develop recommendations, including options and priorities
  • Produce a final report and roadmap
  • Compile and communicate progress and findings to project sponsors and stakeholders
  • May plan, assign, and/or supervise the work of others
  • Assist with other projects as needed

This is a one year, limited-term position focused on completing a defined discovery project to inform future electronic records management (ERM) efforts. 

Qualifications

  • Bachelor's degree
  • 2+ years experience managing structured, time-limited projects with defined deliverables
  • Ability to conduct analysis, synthesize findings, and produce clear recommendations
  • Strong stakeholder engagement and facilitation skills
  • Familiarity with records management principles and electronic records environments

Knowledge, Skills and Abilities

  • Knowledge of project management theories and practices applicable to projects of moderate scope
  • Skill in project management monitoring and in the operations of computers and applicable software
  • Ability to exercise sound judgment in making critical decisions, to analyze complex information and develop plans to address identified issues, to demonstrate negotiation and facilitation skills, to identify project risk, to prepare reports and charts, to communicate effectively, and to coordinate the work of others
