Job Summary

Are you interested in helping Getty improve and unify the way staff communicate and collaborate across the organization? Getty is seeking a Business Systems Analyst II within the Unified Communications department to support the analysis, administration, and continuous improvement of enterprise collaboration and communications platforms.

 

The Business Systems Analyst II – Microsoft 365 Administration applies advanced professional knowledge of business analysis, Microsoft 365 administration, and IT service management (ITSM) to support both analytical and operational functions within Unified Communications. This role balances requirements gathering, system analysis, hands‑on configuration, and operational support, with primary technical accountability for Exchange Online and secondary responsibility for content and collaboration platforms including Microsoft Teams, SharePoint Online and OneDrive, Slack, RingCentral, Google Workspace, and related services.

 

In this role, the analyst will work closely with service owners, engineers, vendors, and business stakeholders to understand business needs, assess system capabilities, and translate requirements into scalable, supportable solutions. Responsibilities include evaluating workflows, identifying gaps or inefficiencies, supporting integrations between platforms, and ensuring systems align with organizational standards, governance, and security requirements.

The Business Systems Analyst II will contribute to day‑to‑day service operations by supporting platform administration, incident and problem analysis, change management, and service documentation in alignment with ITSM practices. The role also supports training, adoption, and communication efforts to ensure staff are able to effectively use Unified Communications tools as part of their daily work.

 

This position plays an important role in improving reliability, usability, and consistency across Getty’s collaboration ecosystem. The analyst will use data, reporting, and stakeholder feedback to inform recommendations, measure service performance, and support continuous improvement initiatives across Unified Communications services.

 

The ideal candidate is a detail‑oriented analyst with a strong customer‑service mindset who is comfortable working at the intersection of business needs and technical systems. They bring experience supporting Microsoft 365 and enterprise collaboration platforms, working with vendors, documenting requirements and processes, and operating within established IT service frameworks. They understand how communication and collaboration platforms fit into a broader digital ecosystem and can help Getty deliver a more connected, efficient, and dependable staff experience.

Major Job Responsibilities

Business Analysis & Service Enablement 

  • Serve as the primary level 3 support for Unified Communications services delivered through Microsoft 365 and Google Workspace, including messaging, collaboration, and content platforms.
  • Applies extensive IT service management practices to design details of services, systems, and/or products.
  • Partners with vendors, business and IT stakeholders to gather, analyze, and document requirements for service enhancements, policy changes, service levels, and new capabilities, while focusing on achieving strategic objectives and benefits that are in alignment with an established roadmap.
  • Analyze current state workflows across email, calendaring, collaboration, and content sharing; identify process and continual improvement opportunities.
  • Produce clear, high-quality BA deliverables, including:
    • Business requirements documents (BRDs)
    • Process maps and current/future state workflows
    • User stories and acceptance criteria
  • Support change management and adoption activities, including rollout planning, communications, and user-facing guidance while managing interdependencies and ensuring alignment with organizational goals.
  • Define and track service metrics (incident trends, adoption indicators, mailbox and storage growth, license utilization).
  • Contribute to Unified Communications service roadmaps and continuous improvement initiatives, writing business solution proposals and/or participating in RFPs for moderately complex software applications or services.

Microsoft 365 Administration 

  • Administrate and support Microsoft 365 services within the Unified Communications portfolio.
  • Provide Tier 2/3 escalation support for messaging, collaboration, and content related issues.
  • Execute approved configuration changes, testing, and validation aligned with documented requirements.
  • Maintain operational documentation, runbooks, and standard operating procedures.

Exchange Online Administration

  • Administer Exchange Online in a cloud only Exchange environment integrated with on-premises Active Directory.
  • Responsibilities include:
    • Mailbox provisioning and lifecycle management
    • Shared mailboxes, distribution groups, and permissions
    • Mail flow configuration (connectors, transport rules, accepted domains)
    • Message tracing and delivery troubleshooting
    • Coordination of SPF, DKIM, and DMARC with infrastructure/DNS teams
  • Support retention, archiving, and mailbox policies in partnership with governance and compliance stakeholders.

Content & Collaboration Services Support

  • Support Microsoft 365 and Google Workspace content and collaboration tools, as well as other video conferencing and telephony technologies.
  • Assist with gathering requirements, service improvements, and operational support related to collaboration and content sharing.
  • Support governance standards related to:
    • Access and sharing
    • Lifecycle management
    • User experience consistency across collaboration tools
  • Partner with other Unified Communications, Infrastructure, Technical Support and Digital Workspace teams to ensure services operate cohesively.

Governance, Security, and Collaboration

  • Support Microsoft 365 governance standards across messaging, collaboration, and content services.
  • Collaborate with Security and Compliance teams on:
    • Email related controls
    • Collaboration and sharing policy alignment
    • Audit and review activities
  • Ensure service configurations and processes align with organizational policies and risk requirements.

Automation & Continuous Improvement

  • Use PowerShell to automate recurring tasks, reporting, and operational checks across Exchange Online and M365 services.
  • Identify opportunities to reduce manual effort and improve consistency through automation and standardization.

Qualifications

  • Bachelor's degree in a related field or a combination of education and relevant experience
  • Master's or advanced degree in domain specific area preferred (e.g. MLIS, Data Science, MIS)
  • 2-5 years experience with IT systems

  • Thorough knowledge of business and process analysis functions
  • Thorough knowledge of related areas of IT
  • Strong skills and knowledge of methodologies associated with analysis of processes and problems, information flow and architecture
  • In-depth understanding and skill in process and systems requirement documentation standards, such as Use Case modeling, User Story creations and narrative description
  • Demonstrated ability to work with others from diverse backgrounds
  • Self-motivated and works independently and as part of a team. Able to learn effectively and meet deadlines
  • Demonstrates problem solving skills
  • Broad knowledge relating to software design
  • Thorough knowledge of business processes and procedures
  • Demonstrated ability to communicate technical information to technical and non-technical personnel at various levels in the organization and the interpersonal skills to work with personnel and all levels of the organization
