The Getty Conservation Institute is looking for a Budget Coordinator to monitor budgets, and provide analysis of discrepancies between budget and actual expenditures for multiple departments and projects. The Budget Coordinator will be an integral part of the Administration department and will ensure that all aspects of budgeting, reporting, and purchasing are handled in accordance with Getty policies and procedures.
This job will be based in our office at the Getty Center in Los Angeles. It will begin in the office full-time and the opportunity to request a telework schedule may be available after an initial period of training and orientation and will be discussed and approved by your supervisor. Typically, staff with approved telework schedules at the Getty Conservation Institute are in the office more than half of the time.

The Getty Conservation Institute is dedicated to finding ways to improve the conservation of the world’s cultural heritage—its art objects, museum collections, historic buildings, and archaeological sites. We are located at the Getty Center in Los Angeles, and our work often takes our staff to heritage sites across the globe including locations in South America, Asia, and the Middle East, where we work in partnership with heritage professionals from the region. Our staff come from diverse disciplines including architecture, archaeology, conservation, information science, chemistry, engineering, operations management, and communications.
As a Budget Coordinator, you will work under direct supervision to gather data and populate budgets and budget updates. Specifically, you will:
• Apply comprehensive knowledge of budget preparation, review and evaluation to prepare budgets and reforecasts.
• Coordinate with your supervisor and colleagues from other departments to complete project, departmental, and consolidated budget proposals, including complex spreadsheets.
• Track actual expenditure vs budget throughout the fiscal year.
• Prepare reclasses; and prepare and distribute regular budget reports.
• Ensure accurate maintenance of files and records.
• Provide analysis on variances between actual expenditures and budget.
• Review all travel authorizations, cash advances, expense reports, and purchasing card transactions for compliance with Getty policies and ensure that appropriate documentation is included. Meet with colleagues to discuss revisions, if necessary.
• Prepare purchase orders and process invoices, as needed.
• Review department wide purchase orders for coding accuracy.
• Train colleagues on Getty policies and procedures for processing various types of expenditures.
• Complete other duties, as assigned.
• Strong verbal and written communication skills
• Strong math, analytical and problem solving skills with high attention to detail.
• Experience working with financial reporting systems, including the ability to gather and organize data clearly using spreadsheets.
• Strong computer skills and experience with office software and email applications.
