Job Summary

Manages and coordinates Getty Research Institute (GRI) programs - from pre-planning phases through post-event follow-up. 

Major Job Responsibilities

  • Coordinates assistance for the programming department which may include development, preparation, implementation, promotion, execution and documentation of GRI events. 
  • Meets with project and/or department heads to plan scope and format of events, develop event schedule and budget, undertake and/or administrative procedures, manage guest lists, facilitate programs and other event ephemera, create a strategy for event publicity, and monitor overall event progress. 
  • Coordinates events logistics with multiple departments across the Getty and arranges for room reservations, catering, audio-visual equipment, staffing, parking, and other event needs. 
  • Coordinates services for participants, such as contracts, accommodations, travel and reimbursement. Disseminates information to program attendees. 
  • Partners with outside vendors. 
  • Provides complete front and/or back of house management before and during the event. 
  • Oversees dissemination and/or storage of event documentation. 
  • Helps maintains GRI events calendar. 
  • Participates in budget management. 
  • Provides administrative assistance for section. Provides assistance as needed.
  • Collects and maintains promotional email lists 

Qualifications

  • Bachelor’s degree
  • 1-3 years of project/process management and/or event planning experience as well as administrative experience

Knowledge, Skills and Abilities

  • Ability to manage projects, beginning to end
  • Strong communication skills, including diplomacy, and ability to work with people at multiple levels throughout the organization
  • Ability to manage multiple, sometimes conflicting deadlines
  • Proficient in all basic office software and Zoom Webinar
  • Ability to manage last-minute changes and troubleshoot urgent situations
  • Comfortable integrating ongoing office administration into project-focused workload
