Job Summary

This is a full time position that will support the work of the DEAI Council and its co-chairs. Getty established the DEAI Council, a diverse and inclusive group of employees, in early 2020 to make recommendations and partner with senior leadership on strategies for change.

This position reports to and works closely with the Director of Human Resources, while supporting the work of and receiving oversight and guidance from the DEAI Council’s co-chairs.


The DEAI Administrative Assistant will handle administrative tasks and manage logistics for work being carried out by DEAI Council members and others engaging with the Council in these efforts. The Administrative Assistant will need to perform duties with a high degree of confidentiality, independence, initiative and judgment, prioritizing the workload efficiently, be able to work independently, and meet deadlines under changing conditions.

Major Job Responsibilities

  • Schedule all DEAI Council, working group, and co-chair meetings, trainings, events, and other related appointments. This involves coordinating with external consultants as well as Getty staff.
  • Work with co-chairs and external consultants to prepare presentations for Council meeting.
  • Reserve and arrange for either Zoom or on-site meetings as needed.
  • Liaise with JONES representatives, co-chairs, and members for any materials needed prior to meetings and distribution of agendas.
  • Attend DEAI Council meetings and perform administrative tasks such as running slides, creating and running breakout rooms, taking notes and disseminating to participants.
  • Manage incoming email for the DEAI Council, applying discretion and judgment to disseminate to appropriate parties, and/or respond as needed
  • Refine and maintain a system to track and archive emails in the DEAI Council inbox, and understand trending topics
  • Provide reminders to DEAI Council subcommittees/working groups as requested, to ensure timely completion of action item.
  • May occasionally support subcommittees/working groups by providing note-taking, creating collaborative documents, and report gathering.
  • Support DEAI Council information sharing and communication efforts by gathering information from subcommittees or other groups, as needed.
  • Work with Director of Human Resources to maintain DEAI intranet pages (GO).
  • Prepare reports and other information as needed by DEAI Council and its subcommittees/working groups, with the oversight of Council co-chairs and JONES representatives.
  • Manage reports, collaborative documents, and other materials within repository to ensure legacy information and current project details are maintained.
  • Organize all DEAI documents and files in Office 365 OneDrive.
  • Utilize Getty’s Financial system to prepare and submit requisitions and invoices for DEAI Council related programs
  • Develop and distribute surveys to and on behalf of the Council
  • Under the direction of the co-chairs or supervisor, write, have translated and submit in a timely manner any DEAI Council information for Getty THIS WEEK.


  • High school diploma/GED; Bachelor’s degree preferred
  • Minimum 3-4 years related experience in administrative support

  • Advanced Microsoft Office suite skills and ability to embrace and learn new technology (especially OneDrive, Outlook scheduling, Excel, and PowerPoint)  
  • Capacity to handle multiple tasks and deadlines simultaneously
