Job Summary

Under direct supervision of the Rights Manager, and working closely with the Rights Coordinator, assists with acquisition and rights clearance for images reproduced in Getty publications, including sourcing and purchasing reproduction-quality images, coordinating image receipt, and file management and invoice payment for rights and permissions activity. Assists in licensing of Getty publications to third parties by preparing materials for book fairs and online promotional efforts, by creating copublication contract requisitions, and by handling other administrative duties that support the acquisition of images and licensing of Getty content. 

Major Job Responsibilities

  • Creates and monitors purchase orders and invoices, tracks payments, acts as a liaison with the Procurement and Accounting departments, runs project cost-to-date reports, and monitors spending against budget.
  • Assists with rights and permissions work, which includes maintaining image files and logs, sourcing images and obtaining permission to reproduce those images, reviewing image files for content and quality, and other related tasks.
  • Corresponds with authors, rightsholders and publishers, both domestic and international.
  • In support of licensing efforts, assists with the creation of promotional materials for book fairs, researches potential copublishing partners, and drafts promotional e-mails soliciting interest from potential partners in forthcoming publications.
  • Monitors and responds to incoming rights inquiries via email.
  • Arranges travel, prepares travel authorizations and expense reports, reconciles p-card statements, and serves as Rights team resource on travel and expense policy.
  • Schedules meetings, manages calendars, purchases supplies, tracks courier shipments, manages files and makes copies as needed.


  • High School or GED required, bachelor’s degree preferred. 
  • 1-3 years experience in office support position, with publishing or permissions experience a plus.

Knowledge, Skills and Abilities

  • Proficient in Microsoft Office (especially Word and Excel); familiarity with Adobe Acrobat (including Bridge).
  • Good written and verbal communication skills, good organizational skills, flexibility in adapting to shifting deadlines and priorities, and ability to focus on details.
  • Experience using automated financial reporting systems helpful (we use PeopleSoft Financials).
  • Familiarity with and/or interest in art history a plus.
