  • Job Summary

    The Getty Research Insitute (GRI) seeks a responsible, proactive, communicative, and collaborative supervisor to manage the GRI’s daily Library Annex Circulation operation, which includes a number of library assistants who maintain a collection of more than 900,000 library volumes currently housed in an offsite warehouse facility 30 miles north of the Getty Center.  Core tasks include overseeing Annex circulation and digitization workflows.  This position is the Library Annex’s primary on site contact responsible for coordinating activities as necessary with other Getty Research Institute and Trust departments working at the Annex.  Reports to the Manager of Circulation. 

    Major Job Responsibilities

    • Under the direction of the GRI’s Manager of Circulation, perform supervisory duties pertaining to Circulation, including oversight, training, and evaluation at the Getty Research Institute Library Annex warehouse according to established guidelines, procedures, and policies of the library.
    • Plan and assign work for Annex Circulation staff.
    • Be actively involved in daily operations to meet schedules or resolve complex issues.
    • Provide technical expertise to staff, and establish and/or monitor current methods and policies.
    • May recommend changes in practices and procedures to increase operating efficiency.
    • Supervise and be actively involved in the Annex digitization work flows.
    • Page, scan, deliver, shelve, and sort library materials.
    • Ensure proper handling, care, storage, preservation, and tracking of collections items.
    • Establish and maintain communication with other staff working at the Annex, including those from Facilities, Special Collections Management, Book Conservation, Interlibrary Loan, Institutional Archives, and Security.
    • Serve as the primary Library Annex warehouse liaison for the dissemination to all other relevant staff and departments information about any HVAC, security, fire suppression, custodial, etc., issues, following established guidelines, as appropriate.
    • May serve as one of the initial contacts with Security for the various alarm situations and/or for emergency response at night or on weekends, following established guidelines.
    • Serve as backup to receive deliveries at the Annex for other departments.
    • May assist library patrons remotely with various inquiries.
    • Compile data, analytics, and reporting from the library system about library use.
    • Use the Integrated Library System, Alma, to track circulation information, create and update items and holdings records, and related work.
    • Resolve highly complex problems for staff and library users.
    • May process or assign interlibrary loan digitization requests.
    • Serve as deputy in absence of manager.
    • Participate in special projects as assigned.
    • Help maintain overview of collection growth and storage capacities; recommend changes and plans for collection shifts in consultation with colleagues; oversee the implementation of Annex collection vault shifts and moves.
    • Provide status updates to manager regarding Annex circulation work.
    • Recommend ideas for improvements and changes to manager.

    • Familiarity with handling special collections materials.

    • Familiarity with library preservation principles.

    • Ability to lift boxes up to 40 pounds and to push heavy book trucks.

    • Ability to move and climb industrial ladders for extended periods of time.
