Job Summary

Ensures that the Getty is able to procure goods and services at the best possible price by managing all aspects of highly complex contract life cycle from gathering requirements to monitoring post-award compliance for various internal clients. Manages a staff of various levels. Provides contract services in a timely manner with a high level of customer service/client satisfaction. Reviews and drafts contractual documents, negotiates the terms and conditions in contracts, prepares contracts for execution, monitors vendor’s compliance with contractual terms, prepares amendments and renewals when necessary. The Contract Administrator Specialist works independently on highly complex contracts, and leads special projects.

Major Job Responsibilities

  • Prepares, reviews, amends and negotiates highly complex contracts
  • Prepares and manages highly complex RFx processes
  • Works with Legal and Risk Management in order to identify and mitigate risk in contracts
  • Works with multiple stakeholders to gather requirements and to develop scopes of work; Analyzes and evaluates vendor proposals and purchase requests from internal departments for conformity
  • Provides strategic direction on projects related to process audits and process improvements within department and among stakeholders of department
  • Manages staff of various levels of buyers and contract administrators
  • Mentors junior colleagues in department and staff members across the organization regarding FIS, policies and procedures
  • Experience with ORACLE/PeopleSoft or other e-Procurement tools

Qualifications

  • Bachelor's degree and 8-10 years relevant experience or a combination of education and relevant experience
  • Professional purchasing or contract management certification preferred

  • Advanced communication skills to clearly and effectively communicate information to internal and external audiences, client groups and all levels of management
  • Advanced analytical and problem solving skills to review and analyze complex information
  • Significant experience with contracts administration; demonstrated ability to negotiate effectively
  • Strong service orientation, demonstrated ability to work effectively in a fast-paced, customer-focused service environment
  • Extremely detail oriented and able to work well independently, but also able to seek out assistance when needed
  • Excellent interpersonal skills, good judgment and the ability to conduct negotiations in a timely manner
  • Strong organizational skills and the ability to prioritize a variety of tasks and demands
  • Strong computer skills, including Microsoft Office Suite and ability to learn applicable departmental systems
  • Makes decisions and prioritizes projects, programs and initiatives in alignment with the goals of the institution, program, and/ or department
  • Makes decisions, process improvements and results that impact the institution and profession
  • Work is assessed against the breadth of impact and effectiveness of results obtained
  • Utilizes latitude in selecting methods, techniques and evaluation criteria for obtaining results
  • Experience drafting and negotiating agreements for education, events, conservation programs, museum exhibition design, art installation projects, guest speakers, expert consultants, performing artists, authors, publications, and media licenses
  • Experience working with legal counsel to customize in- house contract templates and/or 3rd party agreements
